23. AWARD CONTRACT: COPIERS/PRINTERS AND FAX FINISHERS FOR THE POLICE\nDEPARTMENT – F2M26-6B, C2M26-35, M2M26-94\nStaff completed a competitive bid process and is recommending the City Council award a\ncontract to Copy Solutions, Inc. (an authorized distributor of Xerox). The proposed lease\nagreement includes maintenance and supplies, including toner, drums, belts, roller kits,\nstaples, fusers, waste toner containers and other Xerox-identified consumables, excluding\npaper. The annual lease/operating costs are estimated to be $22,630.01, including taxes\nand excess copy charges, which are billed at a rate of $0.005 per black and white copy\nand $0.005 per color copy. Under the contract, up to 33,000 black and white copies and\n3,500 color copies are provided monthly.\nRecommended Action: City Council award a contract to Copy Solutions, Inc.,\nsubject to final language approval by the City Manager and City Attorney, in an amount\nnot to exceed of $113,150.05 for the lease of eight copiers/printers for a five-year period;\nauthorize the Chief of Police to execute said agreement; and, direct staff to undertake the\nsteps necessary to finalize the Council’s action.
