12. AWARD CONTRACT: LASERFICHE CLOUD ENTERPRISE CONTENT\nMANAGEMENT FOR CITY-WIDE DOCUMENT DIGITIZATION PROJECT – F2M23-42,\nC2M23-29, M2M23-70\nLibrary Department staff are undertaking a multi-year document digitization and content\nmanagement project converting the City’s physical documents into organized digital\nformats. This project will enhance the searchability and usability of the City’s files and\ncreate streamlined workflows benefiting both staff and community members. The\n5\n5-8-23\nLaserfiche Cloud enterprise content management system will serve as the primary\nplatform where the digital data and processes will reside. The Library Department has\nopportunity to piggyback on a National Cooperative Purchasing Alliance (NCPA) contract\nRFP# 36-22 for document and records management with Compulink Management Center,\nInc., doing business as Laserfiche, the developer of the City’s selected enterprise content\nmanagement system. Synapse Technologies, Inc., as a Laserfiche authorized solution\nprovider, will provide the City with the necessary software configuration, user training, and\nbackfile document import to ensure successful project implementation. The contract is for\na term of 3 years, with an optional renewal of 2 one-year terms. Per the Alhambra\nMunicipal Code 3.36.080(B), bidding exemption is authorized, and the City may “piggy\nback” onto an existing contract of a government entity.\nRecommended Action: City Council award a contract, subject to final language\napproval by the City Manager and City Attorney, to Synapse Technologies, Inc. for the\nproject implementation of the Laserfiche Cloud enterprise content management system in\nan amount not to exceed $175,200; and, direct staff to undertake the steps necessary to\nfinalize the Council’s action.
