20. CONTRACT AMENDMENT: COPIER/PRINTER LEASE FOR THE FIRE DEPARTMENT\n– F2M18-6B, C2M18-32, M2M23-123\nOn June 25, 2018, the City Council awarded a contract to image IV for the copier/printers\nnetwork lease including maintenance service. Image IV provides an outstanding level of\nservice and equipment. The contract is due to expire on August 13, 2023. Image IV has\nagreed to continue their services at the same rate of $813.63/month with a not to exceed\none (1) percent annual increase. They also offered their piggy back proposal onto an\nexisting contract of a government entity for a new five-year contract at the rate of\n$1,077.34/month for a comparable equipment, therefore the current rate is more\nadvantageous to the City. The Fire Department would like to continue to work with Image\nIV. Pursuant to the City’s Municipal Code, 3.36.080 (E), which specifies the City Council\nmay, by majority vote, waive the purchasing procedures to fit a specific purchase. In this\ncase, the contract extension provides significant savings to the city. Therefore, staff\nrecommends the City Council award the three-year contract extension and waive the bid\nprocess.\nRecommended Action: City Council approve an amendment, subject to final\nlanguage approval by the City Manager and City Attorney, to the contract with Image IV\nSystem for the copier/printers network lease in the amount of $813.63/month with a not to\nexceed 1% annual increase, for an additional three-year term; authorize the Fire Chief to\nexecute the necessary documents; authorize additional appropriations to satisfy upcoming\nfiscal year budget expenditures related to this contract; and, direct staff to undertake the\nsteps necessary to finalize Council’s action.
