19. AWARD CONTRACT: TWO MULTI-FUNCTION COPIERS/PRINTERS – F2M23-6B,\nC2M23-71, M2M23-148\nIn June 2018, the City entered into a 5-year lease for Xerox copiers located in the Finance\nand Human Resources Departments. The current leases expired July 2023. The City\ncurrently leases these two copiers for a total of $1,346.40 monthly (excluding applicable\nsales tax) a month, including expendable supplies (excluding paper and staples), and\nmaintenance. Xerox has entered into a cooperative purchase agreement with OMNIA\nPartners. This agreement is available to local government agencies. Under the City’s\nMunicipal Code section 3.36.080(B)(3) the City may purchase supplies or equipment\navailable through or in conjunction with another public agency's purchase of such supplies\nor equipment (“piggybacking”). Staff has reviewed the specifications for equipment\nmanufactured and distributed by Xerox and finds the models B9100 and C9070 most\nappropriate for the City’s needs. Staff has reviewed the proposed lease pricing to ensure\nit is in conformance with the negotiated contract pricing under the cooperative purchase\nagreement under contract with OMNIA Partners.\nRecommended Action: City Council authorize the Director of Finance to enter into\na five-year lease agreement for two new multi-function digital copiers/printers to replace\ntwo existing copiers/printers with Xerox Corporation in a total amount not to exceed\n$76,880 (excluding applicable sales taxes); and, direct staff to undertake the steps\nnecessary to finalize Council’s action.
