DIGITAL COPY MACHINE 5-YEAR LEASE PROPOSAL IN THE AMOUNT OF\n$621.25 PER MONTH\nThe San Gabriel Police Department (SGPD) entered into a five-year lease\nagreement in April 2019 with Canon Solutions America, Incorporated for three\nof the current SGPD copiers. This lease agreement expired in June 2024, and\nSGPD has been on a month-to-month basis since that time. Funds for the digital\ncopier services currently budgeted in the Police Department’s Contractual\nExpenditure Account No. 121-751-00-22-000 under ‘Copier and Maintenance,’\nare set at $21,400. Since an anticipated cost savings would occur through this\nnew lease agreement, additional funds into the contractual account would not\nbe necessary. The identified expenditure includes preparation, delivery,\ninstallation, training, maintenance, service/labor, parts and toner charges. The\nexpenditure does not includes taxes, paper, or the cost per print/copies.\nCalifornia Environmental Quality Act (CEQA) Determination: Not a Project as\ndefined in Section 15378 of the State CEQA Guidelines.\nRecommended Action:\nCanon and the products identified in this report have already been through the\ncompetitive bid process with the OMNIA Partners, Public Sector, Contract No.\n2020002755. Staff recommends that the City Council waive the formal\ncompetitive bidding procedure and authorize the City Manager to utilize the\ncooperative discount pricing to obtain a new lease of $621.25 per month, for\nfour copiers for a period of five-years.
